2024 SOUTH COAST HIGHLAND GATHERING TERMS & CONDITIONS

The following Terms and Conditions will apply to each stallholder occupying stalls on any of the fields:

  1. There is a single size of stand i.e. approximately 4m x 4m. Larger stands may be obtained by application for stands next to each other (adjacent stands).  Application may also be made for non-adjacent stands where a stallholder wishes to occupy more than a single place.
  2. Rent payable
    • Category 1 food* stalls is R750.00 for the day.
    • Category 2 Food* / General / Craft / Men’s – R600.00 for the day.
    • Outdoor – R2500 for the day.
  3. No electricity, gas, water, tables or chairs will be made available to any of the stands by the Lions Club of Amanzimtoti. Stallholders must make their own arrangements in regard to these matters. Portable generators will only be allowed on the RED permit field and gas cooking apparatus will be allowed on both fields.
  4. No stallholder may sell any merchandise other than that specified on the relevant booking form.
  5. No alcoholic or ABI beverages or similar or bottled water may be brought into the grounds, sold or otherwise made available to anyone on the grounds by a stallholder.
  6. Tents are not allowed due to Council Regulations including fire extinguisher requirements, evacuation diagram requirements and certificate of structural stability provision. There have been problems in the past of delivery of tents to the field without any information about which stall they are to be placed over and guy ropes etc. encroaching on adjacent stalls. Gazebos are allowed providing they fit within the 4x4m allocated and do not encroach on adjacent stalls.
  7. Each stallholder will have access to the grounds on the day of the event from 06h00, for the purpose of erecting stalls.
  8. All stalls must be open and ready to do business at 08h00 on the day of the event.
  9. Each stallholder will be entitled to take motor vehicles into the grounds, but only on presentation of the vehicle entry permits which will be given to every exhibitor on acceptance of his/her application.
  10. Each stallholder and one passenger will be allowed free entry to the grounds in the primary vehicle, other stallholder’s vehicles must be pre-booked and the drivers and helpers in those vehicles will be charged R30.00 each person. The additional vehicles must be removed from the grounds by 07h45.
  11. Because of the congestion problems experienced in the past, stallholder may not remove their vehicles from the grounds between 10h00 and 15h00. Stallholders who anticipate that they will want to leave during those times must remove their vehicles from the grounds and park in the parking area provided past Lords and Legends before 07h45.
  12. Stallholders may only erect their stalls on and conduct their business from the stands allocated to them.
  13. Rents tendered for stands are not refundable under any circumstances, except in cases where the application for an exhibitor’s stand is not accepted by the Lions Club.
  14. The Lions Club of Amanzimtoti is not obliged to accept any application for a stand, and may refuse to accept an application without giving reasons for its decision.
  15. The applicant and its duly authorised representative, on behalf of the applicant and the agent, their representatives, employees, and agents waive any claim he, she or it may have against the Lions Club of Amanzimtoti, its members or employees, the eThekwini council and the Amanzimtoti Rugby Club for any loss or damages of any nature suffered by him, her or it if such claim is caused by or arises from the applicant’s presence or activities at the project. The applicant and its duly authorised representative, indemnifies the Lions Club of Amanzimtoti, its members and employees, the South Local Council and the Amanzimtoti Rugby Club against any claim for any loss or damages of any nature which may be suffered by any person if such claim is caused by or arises from the applicant’s presence or activities at the project.

NOTE: NO VEHICLES WILL BE PERMITTED WITHOUT NECESSARY DOCUMENTATION (STALLHOLDERS STAND NO.; VEHICLE ENTRY PERMITS AND WRIST BANDS FOR ADDITIONAL DRIVER & HELPERS

No stallholder may sell any merchandise that is controversial or obscene language- NO FIREWORKS

**NOTE:

  • Category 1 food* = smoked meat, meals/drinks/etc. for preparation / consumption at the event.
  • Category 2 food* = food not prepared at the event e.g. bottled preserves, jam, marmalade, olives, chutney etc.
